🟢 Make every big client launch go right
Mapon has 35,000+ active clients. More than 400,000 connected devices. 150+ partners worldwide. And 200+ colleagues behind it all. Mapon has already built the scale, trust and reach of an established European B2B SaaS and telematics company, and we are still far from finished. Our platform helps businesses manage their vehicles, teams and assets, reduce costs, improve safety, simplify compliance and make smarter decisions.
Those 200+ colleagues work across eight Mapon branches: Latvia, Spain, Estonia, Finland, Denmark, Lithuania, Sweden and Ireland, with our headquarters in Riga, Latvia. That mix of local market knowledge, international experience and different perspectives helps us grow one shared product across markets worldwide.
As we win more Large, Enterprise and VIP clients, the gap between what is sold and what gets delivered matters more than ever. We have built a clear eight-step onboarding framework for these clients. We are now hiring an Enterprise Onboarding Specialist to run it.
🎯 Your mission
Take every Large, Enterprise and VIP client from the first scoping conversation to a fleet that is live, supported and handed over, with no surprises on installation day and nothing promised that we cannot deliver.
The challenges you'll tackle
- Fleets of 50 to 500+ units, where harnesses and fittings vary by make, model and year, and one wrong part means a second visit and double cost.
- Dates committed before scope is fully known, which turns timelines into guesses from day one.
- Hardware needs that reach the warehouse late, so sourcing and shipping turn into firefighting.
- Many teams in one project: Sales, Chief Technicians, Product, L2, Planning, Warehouse / Assembly and Strategic PMs, across several markets.
- Feature requests and non-standard terms that need the right approvals before anything is offered to the client.
- Expectation gaps that, left alone, surface as escalations instead of conversations.
🔎 What you will own
Scoping and project preparation
- Own each onboarding project from start to finish, working alongside the sales manager who owns the deal.
- Collect and validate complete fleet lists using the Large Client Fleet List Template, with make, model, year and tachograph for every vehicle.
- Make sure scope and expected solutions are fully understood before any date or commitment is made to the client.
- Coordinate the fleet list review with the Chief Technician and confirm the hardware request is ready within the 2–3 business day SLA.
- Prepare and run the internal project prep meeting, ending in a clear go / no-go and an action list with owners and deadlines.
- Identify and log risks and blockers early, each with a named owner and a mitigation plan.
Delivery coordination
- Route feature requests to the Product team and configuration requirements to Mapon’s internal Level 2 support team, then track feedback and confirmations.
- Make sure device orders are raised in the CRM against the confirmed hardware request and processed by Assembly.
- Work with the Planning Specialist to build installation schedules against real device availability and technician capacity: travelling field technicians, outsourced technicians, or a mix.
- Support Sales in preparing the client kickoff so the solution, hardware list, timeline and responsibilities are clear, and no new scope is introduced.
- Monitor installations and make sure deviations are reported the same day so the plan can be re-sequenced.
Project tracking and governance
- Run each enterprise client onboarding as a project manager, start to finish.
- Set up and maintain one Basecamp project per client from the shared template, as the single channel for project communication and status.
- Keep the six-point completion tracker up to date: fleet list received, hardware confirmed, FRs and configuration routed, order processed, install schedule confirmed, installation complete and verified.
- Run the bi-weekly check-ins, with written updates by default and short, agenda-led meetings when there are blockers or decisions.
- Make sure non-standard terms (custom SLAs, DPAs, NDAs, payment terms) have CFO or Head of Product approval before they are offered, and are recorded in the CRM client profile.
- Work closely with the Strategic PM on projects that qualify as strategic, from Step 2 through to closure.
Closure, handover and continuous improvement
- Confirm with the client that delivery is complete: technical specifications delivered, installations completed and client fully onboarded.
- Hand over support to the Mapon Support team and account management to the HAM team, and make sure the client knows who to contact for what.
- Archive the final fleet list, hardware list and configuration record in Basecamp for support and future upsell.
- Run highs-and-lows reviews and write lessons learned back into the framework and procedural documentation.
- Pass client insights and upsell opportunities to Sales, and demand signals to Product.
🤝 What success looks like after 12 months
- Every Large, Enterprise and VIP onboarding runs through the eight-step process, with a live Basecamp project and an up-to-date tracker.
- No client is given a date before the fleet list and scope are validated.
- Hardware orders reach the warehouse with real lead times, and emergency orders are the exception.
- Installations are right the first time, with fewer re-visits and less travel cost.
- Escalations caused by gaps between what was sold and what was delivered are clearly down.
- Every closed project has a clean handover to Support and HAM and a lessons-learned record that makes the next onboarding better.
🧩 What we are looking for
- Experience in project management.
- Experience in client onboarding, implementation, project coordination or service delivery for B2B clients.
- Proven ability to manage several complex, multi-stakeholder projects at the same time.
- Strong organisational skills and a process-oriented mindset, with close attention to detail.
- Comfort with technical and hardware topics, and willingness to learn vehicle and device specifics.
- Experience with CRM and project management tools (e.g. Basecamp, HubSpot, JIRA).
- Experience working in international or multi-market organisations.
- Fluent English is required; additional languages are considered an advantage.
Nice to have:
- Experience in SaaS, telematics, fleet management, logistics or IoT hardware deployment.
- Knowledge of vehicle installations, tachographs or CAN / harness requirements.
- Experience coordinating field technicians or installation partners.
- Certification in project management.
How you operate
- You hold the line on scope, kindly and clearly, with clients and colleagues alike.
- You raise problems early, while there is still time to fix them.
- You keep many teams aligned without needing to be their manager.
- You write things down, so status is never a guess.
- You work independently and stay calm in a fast-paced international environment.
- You look for what slowed the last project down and fix it for the next one.
